2. Personal data we collect

When you apply for a job through our application form or cruise form, we collect:

  • identity and contact details: name, place and date of birth, ID card (KTP) number, address, phone numbers and email address;
  • family and emergency contacts: your parents’ names, your marital status, and the name, address, relationship and phone number of your emergency contact;
  • physical details needed for work clothing and safety equipment: height, weight, shoe size and coverall size;
  • travel and seafarer documents: passport, seaman book, Panama book and US visa details;
  • health data: vaccination records (vaccine type, doses and dates);
  • qualifications: certificates of competency, endorsements and training certificates;
  • sea service: previous vessels, vessel types, ranks, dates, reasons for sign-off and previous employers or manning agents, including the contact persons you give as references;
  • your photo and CV;
  • information we add during recruitment, such as interview results, assessments and the status of your application.

When you contact us or request a service, for example through the Marshall Islands document request form: your name, company, email address, phone or WhatsApp number, country, vessel details and your message.

When you visit the website: technical data such as your IP address, browser, device, the pages you visit and the time of your visit, collected through our hosting, security and statistics services and through cookies (see section 8).

If you give us personal data about other people, such as emergency contacts or references, please make sure they know you are sharing it with us.

3. Why we use your data

  • to assess your application and match you with vacancies from the ship owners and managers we work with;
  • to verify your identity, certificates and sea service, including by contacting your references;
  • to prepare you for deployment: medical examinations, training, visas, travel, employment agreements and crew changes;
  • to meet our obligations as a licensed seafarer recruitment and placement service, including record keeping and reporting to the authorities under Indonesian law and the Maritime Labour Convention, 2006;
  • to answer your questions and provide the services you request;
  • to keep the website secure, prevent spam and understand how the website is used.

4. Legal basis

We process personal data on the bases allowed by UU PDP: your consent, which you give when you submit a form; steps you ask us to take before an employment agreement, and the performance of that agreement; our legal obligations; and our legitimate interest in running a safe and efficient recruitment service. Vaccination records are health data, a category of specific personal data under UU PDP, and we process them only with your explicit consent and only for deployment requirements.

5. Who we share data with

We share personal data only when it is needed for the purposes above, with:

  • ship owners, ship managers and their agents (our principals) who consider you for a position or employ you;
  • medical clinics, training centres, travel agents, embassies and consulates involved in preparing you for deployment;
  • government authorities, such as the Directorate General of Sea Transportation and the immigration authorities, when the law requires it;
  • service providers that run our website and IT systems (hosting, security, email and statistics), under confidentiality obligations.

We do not sell personal data.

6. Transfers outside Indonesia

Many of our principals are based outside Indonesia, so your application data may be sent to other countries. When this happens, we make sure that the recipient protects the data to a standard equivalent to or higher than UU PDP, or we use adequate and binding safeguards, or we ask for your consent, as UU PDP requires.

7. The Candidate Status page

So that applicants can follow their applications, our public Candidate Status page lists each application with the position applied for and its status. Names are shortened to the first name and initials, and only the year of birth is shown. If you do not want to appear on this page, contact us and we will remove your entry.

8. Cookies and similar technologies

  • Essential cookies keep the website secure and let our staff log in (WordPress and Cloudflare).
  • Google reCAPTCHA protects our forms from spam.
  • Google Analytics and Jetpack Stats (Automattic) help us count visits and see which pages are used.
  • Embedded content, such as Google Maps and Google Fonts, is loaded from Google’s servers.

These providers process data under their own privacy policies. You can block or delete cookies in your browser settings. The website will still work, but some features, such as spam protection on our forms, may not work properly.

9. How long we keep data

We keep application data for as long as it is needed for recruitment. For seafarers we place, we keep it for the duration of their employment and for the period required by law and by our ISO 9001 and MLC 2006 record keeping. If you are not placed, we may keep your application to consider you for future vacancies unless you ask us to delete it. Enquiries are kept for as long as we need them to deal with your request. When data is no longer needed, we delete or anonymise it.

10. How we protect data

The website uses encrypted connections (HTTPS) and is protected by a web application firewall. Access to application data is limited to the staff who need it for their work. If a personal data breach affects your data, we will notify you and the authorities as required by UU PDP.

11. Your rights

Under UU PDP you have the right to:

  • get information about how and why we process your personal data;
  • access your data and obtain a copy of it;
  • correct or update data that is inaccurate or incomplete;
  • ask us to stop processing, delete or destroy your data;
  • withdraw your consent;
  • object to decisions based only on automated processing, including profiling;
  • ask us to delay or restrict processing;
  • obtain your data in a commonly used format, where this applies; and
  • claim compensation for violations in the processing of your data, as provided by law.

To use these rights, email [email protected] with the subject “Personal data request”. We may ask you to confirm your identity first. Some rights are limited by law, for example where we must keep certain records. Withdrawing your consent does not affect processing carried out before, but we may no longer be able to process your application.

12. Applicants under 18

If you are under 18, please apply only with the consent of your parent or guardian.

13. Changes to this policy

We may update this policy from time to time. The latest version is always published on this page with the date of the last update. If the English and Indonesian versions differ, the Indonesian version prevails.
